What is SpeakUp Line?

A healthy SpeakUp culture of openness, integrity and accountability is essential in order to prevent, detect and react to suspected misconduct or breaches of our Code of Conduct or related policy framework. Getinge encourages and expects all employees to report incidents of non-compliance and suspected misconduct using the appropriate reporting channels.

The Getinge SpeakUp line, offers employees and external parties the possibility to file reports of serious non-compliance concerns in a secure and anonymous way. The confidential reporting tool is provided by EthicsPoint.

Reporting – General

How to raise concerns?

All Getinge employees have a duty to maintain appropriate confidentiality in relation to their employer’s affairs. However, where an individual discovers activities or information of serious non-compliance all employees are encouraged to SpeakUp and report the serious non-compliance according to the SpeakUp and Non Retaliation Instruction. The possible channels for speaking up are the following:

  1. Employees shall initially and promptly discuss any concern with their manager or their local HR representative.
  2. In the event where employees are not comfortable discussing a concern with their manager or local HR representative, they shall contact another manager, the Ethics & Compliance Department or the Legal Department.   3. If an employee is not comfortable raising a concern to the parties outlined in requirements 1 -2, they can report the concern by using the SpeakUp Line. The SpeakUp Line is also available for external parties.

What type of issues should be reported?

The SpeakUp Line should be used for matters of serious non-compliance. Getinge considers the following examples as matters of serious non-compliance:

  • failure to comply with legal obligations and criminal activity;
  • any act of corruption - for example conflicts of interest, bribery, improper sponsorships, donations, gifts or entertainment exceeding acceptable standards of hospitality, illegal gratuities or facilitation payments;
  • irregularities concerning bookkeeping and financial reporting, internal accounting controls, auditing matters;
  • financial fraud - for example embezzlement, misuse of company assets, accounting manipulation, theft and misappropriation of assets or dishonest financial statements;
  • violation of competition laws and anti-trust breaches - for example price fixing, exchange of price sensitive information, collusion with competitors;
  • collusion with third parties – any corruption scheme in any stage of third party process, including demand for kick-backs, bid rigging, and fraud.
  • serious endangerment to environment, health and safety;
  • discrimination, harassment and workplace bullying
  • serious personal data breaches with adverse consequences for the data subject freedom and rights
  • serious physical or electronical breaches of confidentiality or security
  • activities, which otherwise by law, treaty or agreement amount to improper conduct or unethical behavior - for example use of child labor or other human rights violations
  • attempts to conceal any of the above

What if my concern is not included in the above list?

In a limited number of countries local laws may only permit reports of a certain nature. Where do these reports go? Who can access them?

The Ethics & Compliance (E&C) Department reviews the report, opens a SpeakUp incident number and determines the appropriate manner of investigation. The following principles apply for a SpeakUp case investigation process:

  • All SpeakUp reports, regardless of reporting channel, are handled confidentially by the E&C Department.
  • The SpeakUp Line allows for a person to remain anonymous while filing a report The E&C Department will, when needed, submit follow-up questions via the channel for anonymous reporting.
  • A case will not be investigated by someone who may be concerned or connected with the misgiving or closely associated with the alleged perpetrator.

I am not sure if what I have observed or heard is a breach of Getinge’s Code of Conduct, Global Policies or local laws, but it just does not look right to me. What should I do?

File a report. We would rather you report a situation that turns out to be harmless than let possibly unethical behavior go unchecked because you were unsure. You could also use the “Ask a Question” function in the SpeakUp Line if you are not sure what to do or contact the Ethics & Compliance Office.

Are there any consequences for my employment if I file a report?

Getinge has a non-retaliation policy, protecting against any form of retaliation against anyone who raises a genuine concern in good faith, or cooperates in a company investigation.

If I, as an employee, see a violation, shouldn't I just report it to my manager, or Human resources and let them deal with it?

Yes, as an employee you should initially report your concern to your manager, another manager or local Human Resources. If none of these are acceptable alternatives for you, or if you are not an employee, we provide this “SpeakUp" reporting line.

Why should I report what I know? What’s in it for me?

Getinge is committed to conducting business with honesty, openness and integrity. Our integrity and good reputation depends on employees and others representing Getinge acting according to the highest standards of ethics and in accordance with our Code of Conduct and our global policies. That is why we all need to act on violations.

I am aware of some individuals involved with unethical conduct, but it doesn't affect me. Why should I bother reporting it?

It is our shared responsibility to live and practice our values. All unethical conduct, at any level, ultimately hurts Getinge and our employees. So if you know of any incidents of misconduct or ethical violations, consider it your duty to report it.

Does management really want me to report?

We certainly do. In fact, we need you to report. We support a culture of openness, integrity and accountability. You may have initial knowledge of an activity that may be cause for concern. Your reporting can minimize the potential negative impact on the company and our employees.

What if I remember something important about the incident after I file the report?

When you file a report, either using the Internet or the Call Center of SpeakUp, you receive a unique report key and are asked to select a password. With the report key and your password, you can return to the SpeakUp system again, either by Internet or telephone, and access the original report. At that point, you can add more details.

Can I still file a report if I don’t have access to the Internet?

You can file a report from any computer that can access the Internet. You can file from home. Many public locations, including the public library, may have Internet access. If you don’t have access to or are uncomfortable using a computer, you can call the “SpeakUp” reporting line, which is available 24 hours a day, 365 days a year.

Reporting Security & Confidentiality

How is confidentiality maintained in SpeakUp Line?

EthicsPoint does not generate or maintain any internal connection logs with IP addresses, so no information linking your PC to EthicsPoint is available. In fact, EthicsPoint is contractually committed not to pursue a reporter’s identity.

Getinge will do its best to protect an individual’s identity when he or she raises a concern and does not want their name to be disclosed. .

May I report my concern anonymously?

Yes. If local laws permit, you may report your concern anonymously.

It is my understanding that any report I send from a company computer generates a server log that shows every web-site that my PC connects with, and won’t this log identify me as a report originator?

How do I get feedback on my report?

After submitting your report, you will be provided with a report key and asked to create a password. With those two pieces of identification, you can follow up on the report by visiting the SpeakUp portal or contacting the telephone hotline.
