About Speak Up and Ethics Point

Speak up lets you challenge all forms of unacceptable behavior and provides a platform to report if you suspect, observe or experience any conduct which can be perceived as unethical or against our values and policies. This is done through the EthicsPoint portal.

In our organization, the culture we aspire to is one where speaking up is a natural and routine part of our daily operations. Most instances of speaking up occur through direct conversations with any member of the management / leadership team. In these interactions, challenges are raised and resolved swiftly. This approach is not only the simplest but also the most effective way to address and resolve issues. By fostering this culture, we ensure that concerns are dealt with promptly and efficiently, promoting a healthy and proactive work environment. However, we recognize that this may not be the case for all situations and therefore, EthicsPoint, one of many channels through which we have.

EthicsPoint is a comprehensive and confidential reporting tool to assist management and employees to work together to address fraud, abuse, and other misconduct in the workplace, all while cultivating a positive work environment.

Our employees are our most valuable asset. By opening clear lines of communication, we promote a healthy work environment and boost productivity.

Reporting – General

The EthicsPoint system is designed for employees and our stakeholders to report any violation of our stated Code of Ethical Conduct, or other concern you may have including concerns about compliance with laws or policies.

When you observe some behavior that you believe violates our Code of Ethical Conduct, we expect you to report it. Ideally, you should bring any concerns forward to your line manager, or other member of our management team. We recognize, however, that there may be circumstances when you are not comfortable reporting the issue in this manner. It is for such circumstances that we have partnered with EthicsPoint. We would rather you report anonymously than keep the information to yourself. You can find out more about the protections we will give you when you report and issue by reading our Whistleblowing Policy (Speak Up policy).

We all have the right to work in a positive environment and with that right comes the responsibility of acting in an ethical manner, upholding Sidra’s core values and letting the appropriate people know if someone is not acting appropriately. By working together, we can maintain a healthy and productive environment. Corporate misconduct can threaten the livelihood of an entire company.

We certainly do. In fact, we need you to report. You know what is going on in our organization - both good and bad. You may have initial knowledge of an activity that may be cause for concern. Your reporting can minimize the potential negative impact on the organization and our people. Also, offering positive input may help identify issues that can improve corporate culture and performance.

Reports are entered directly on the EthicsPoint secure server to prevent any possible breach in security. EthicsPoint makes these reports available only to specific individuals within the organization who are charged with evaluating the report, based on the type of issue reported. Each of these report recipients has had training in keeping these reports in the utmost confidence.

The EthicsPoint system concentrates on being a positive aspect of our overall philosophy, and allows us to assure a safe, secure, and ethical workplace. You are encouraged to seek guidance on ethical dilemmas, provide positive suggestions, or communicate a concern. Effective communication is critical in today’s workplace and this is a great tool to enhance that communication.

We have carefully chosen the best reporting tool to meet our compliance obligations while maintaining a positive reporting environment.

Speak up is for all everyone who works at Sidra Medicine and is a stakeholder in any capacity with Sidra Medine. This includes staff, agency workers, consultants, vendors, contractors, etc. Patients and their families who have concerns or suggestions should contact the Patient Experience team.

To enable a thorough investigation, you should include a detailed description. You do not have to have proof of your suspicions, but a report should always be submitted in good faith. If you have the evidence in any format, this can be added to support your concern.

After having submitted your concern, you will be provided with a unique ID be asked to set up a password. Please retain this as you will need it to post a response or review your concern. If you forget the ID or password, it cannot be restored for security reasons. You will need to send a new message and refer to your original report. You will receive an acknowledgement within five days of reporting your concern. Thorough reviews can take between two to eight weeks. You can use Speak up to review progress or request an update.

You can speak up about something which doesn’t feel right, for example a way of working or a process which isn’t being followed, or behaviors of others which you feel is having an impact on the well-being of you, the people you work with, or patients. If you are unsure, ask through the inquiry option.

We do not tolerate any form of retaliation. We’re committed to supporting anyone who speaks up about a potential violation or misconduct. Individuals who report their concerns in good faith must never face mistreatment.

Retaliation violates our Code and can often violate the law. If you feel that you are being treated differently because you have raised a concern or asked a question, we urge you to report it immediately. The sooner you speak up about something that does not feel right, the sooner we can address the issue.

Reporting security and confidentiality

EthicsPoint does not generate or maintain any internal connection logs with IP addresses, so no information linking your PC to EthicsPoint is available. In fact, EthicsPoint is contractually committed not to pursue a reporter’s identity.

If you feel uncomfortable making a report on your work PC, you have the option of using a PC outside our work environment (such as one located at an Internet café, at a friend’s house, etc.) through the EthicsPoint secure website. Many people choose this option, as EthicsPoint’s data shows that fewer than 12% of reports are generated during business hours.

A report from home, a neighbor’s computer, or any Internet portal will remain secure and anonymous. An Internet portal never identifies a visitor by screen name and the EthicsPoint system strips away Internet addresses so that anonymity is totally maintained. Plus, EthicsPoint is contractually committed not to pursue a reporter’s identity.

The EthicsPoint system is designed to protect your anonymity. However, if you wish to remain anonymous, you - as a reporting party - need to ensure that the body of the report does not reveal your identity by accident. For example, “From my office next to Jan Smith…” or “In my 33 years…”.

There is a section in the report for identifying yourself, if you wish.

Sidra Medicine’s EthicsPoint application is hosted by NAVEX’s secure servers and is not part of Sidra Medicine’s website or intranet. Any report you raise will be kept confidential to the fullest extent possible consistent with law and good business practice.

Tips and best practices

Our organization chooses to promote ethical behavior including through our core values. All unethical conduct, at any level, ultimately hurts the organization and all employees, including you. So if you know of any incidents of misconduct or ethical violations, consider it your duty to yourself and your colleagues to report it.

File a report. EthicsPoint can help you prepare and file your report so it can be properly understood. We'd rather you report a situation that turns out to be harmless than let possible unethical behavior go unchecked because you weren't sure.

The EthicsPoint system and report distribution are designed so that implicated parties are not notified or granted access to reports in which they have been named.

When you file a report at the EthicsPoint Web site or through the EthicsPoint Call Center, you receive a unique user name and are asked to choose a password. You can return to the EthicsPoint system again and access the original report to add more detail or answer questions posed by a Sidra’s representative and add further information that will help resolve open issues. We strongly suggest that you return to the site in the time specified to answer Sidra’s questions. You and the organization now have entered into an “anonymous dialogue,” where situations are not only identified, but can also be resolved, no matter how complex.

All EthicsPoint correspondences are held in the same strict confidence as the initial report, continuing under the umbrella of anonymity.

You can file an EthicsPoint report from any computer that can access the Internet. You can file from home. Many public locations, including the public library, have Internet computers. If you don’t have access to or are uncomfortable using a computer, reach out to compliance@sidra.org for support.
