CCH management wants and encourages you to report if you have a knowledge of an activity that may be a cause for concern. Your reporting can minimize the potential negative impact on the company.
All CCH employees have an obligation to uphold the ethical standards of the company. If you observe behavior that may represent a COBC violation, you are required to raise the issue promtly. This will allow the company to deal with the issue and correct it, ideally before it becomes a violation of law or a risk to health, security or company's reputation.
You have several options for reporting concerns: your Code Compliance Officer, your General Manager, your Function Head, your Country Legal Director, your Regional Legal Director, or the Chief Compliance Officer. For financial, accounting and auditing matters you should report to Group Controller, Head of Internal Audit or Audit Committee. In case of violations of serious nature, such as those involving high levels of management, significant monies, financial misstatement or criminal activities you should report to the General Counsel, Group CFO or Head of Internal Audit. However, we recognize that there are circumstances that you are not comfortable reporting the issue in this manner. In such circumstances you may report using the hotline.
The hotline system is designed to protect your anonymity. However, if you wish to remain anonymous, you- as a reporting party- have to ensure that the report does not reveal your identity by accident. For example, avoid statements such as "From my office next to John Smith...."
Yes. You will be asked to provide the same information as you would provide in an online report.
There is a section in the report for identifying yourself, if you wish. If you make your identity known, we will take every reasonable precaution to keep your identity confidential, consistent with conducting a thorough and fair investigation and compliance with applicable law, and we will acknowledge your report and keep you updated where possible.
Honest reporting does not mean that you have to be right when you raise a concern; you just have to believe that the information you are providing is accurate.
Reports are entered on a secure server to prevent any possible breach of security. Reports are sent to Corporate Audit Department, who are responsible for reviewing reports received through the hotline.
At the end of the telephone call or online report, you will receive a report key and be asked to create a password. You can return to the website or call and access the original report using the report key and password. Then you can add any additional information you have. It is highly recommended to return to the site/call after 5 - 7 days to answer company questions, if any.
All the correspondence in the website are held in the same strict confidence as the initial report.
If lost, the report key and/or the password cannot be recovered. You will need to create a new report.
