What is Pandora Hotline?

Pandora Ethics Hotline is a confidential service administered by NAVEX* and is for you to raise concerns about:

  • compliance and ethics matters in general
  • or to make a report about a breach of the Pandora Code of Conduct, policies or guidelines

While reporting can be done anonymously, we strongly recommend that you disclose your identity, since it will allow us to ensure a more effective investigation. If you do choose to use the Pandora Ethics Hotline, please provide written documentation whenever possible.

What is EthicsPoint?

EthicsPoint is a comprehensive and confidential reporting tool. It assist management and employees to work together to address fraud, abuse, and other misconduct in the workplace, all while cultivating a positive work environment. EthicsPoint is administered by NAVEX an independent 3rd party provider located in UK and USA.

What can I report?

We always encourage you to seek advice and report any concerns with your manager or to contact local or Group HR, Legal, CSR or Internal audit. As a last resort you can raise concerns regarding non-compliance behaviour with:

  • Pandora Code of Conduct
  • any Pandora policy
  • any external legislation

to the Pandora Ethics Hotline.

Why should I report what I know? What’s in it for me?

We all have the right to work in a positive environment. With that right comes the responsibility of acting in an ethical manner and letting the appropriate people know, if someone is not acting appropriately. By working together, we can maintain a healthy and productive environment. Corporate misconduct can threaten the livelihood of an entire company.

Does management really want me to report?

We certainly do. In fact, we need you to report. You know what is going on in our company - both good and bad. You may have initial knowledge of an activity that may be cause for concern. Your reporting can minimize the potential negative impact on the company and our people. Also, offering positive input may help identify issues that can improve corporate culture and performance.

Where do these reports go? Who can access them?

Reports are entered directly on the EthicsPoint secure server to prevent any possible breach in security. EthicsPoint makes these reports available only to specific individuals within the company who are charged with evaluating the report, based on the type of violation and location of the incident. Each of these report recipients has had training in keeping these reports in the utmost confidence.

Are there generated a server log on any report I send from a company computer, and won’t this log identify me as a report originator?

EthicsPoint does not generate or maintain any internal connection logs with IP addresses, so no information linking your PC to EthicsPoint is available. In fact, EthicsPoint is contractually committed not to pursue a reporter’s identity.

Can I file a report from home and still remain anonymous?

A report from home, a neighbour’s computer, or any Internet portal will remain secure and anonymous. An Internet portal never identifies a visitor by screen name and the EthicsPoint system strips away Internet addresses so that anonymity is totally maintained. Plus, EthicsPoint is contractually committed not to pursue a reporter’s identity.

Can I still file a report if I don’t have access to the Internet?

If you don’t have access to or are uncomfortable using a computer, you can call the Pandora Hotline, a toll-free hotline which also is administered by EthicsPoint and is available 24 hours a day, 365 days a year. Local phone numbers can be found on the Intranet and in the Store Binder.

Who will be informed about my report?

Group Internal Audit is responsible for investigating in conjunction with the Ethics & Compliance Committee which includes the Global Head of Internal Audit, HR, Legal, Global Compliance, Group CFO and Head of PPT Finance. The investigation might involve evidence gathering including interviews of relevant people.

What will the response be to breaches?

All identified breaches will be investigated and due action taken when required. Pandora will not accept retaliation in any form against you for raising concerns in good faith.

At Pandora we have a no-retaliation policy prohibiting any retaliation against people raising a concern in good faith.
