Why does EGA have Your Voice?

EGA is committed to working lawfully and with integrity. Being able to identify illegal and unethical conduct is key to us living our values.

Your Voice provides all people – inside and outside EGA – with an easy, secure and confidential way to report serious concerns.

Who runs Your Voice?

Your Voice is hosted by an independent external organisation, NAVEX (www.navex.com). The information NAVEX collects from the reporter is held on its secure server, ensuring maximum confidentiality. Subject to local laws, NAVEX passes this information to authorised personnel at EGA for follow-up and investigation in accordance with internal investigation procedures.

Who can contact Your Voice?

Anyone – inside or outside EGA – can use Your Voice when they do not feel comfortable using a more direct channel of communication (e.g., a manager, EGA’s Ethics & Business Integrity team).

What types of concern can I report via Your Voice?

You may use Your Voice to report concerns about conduct at EGA or along its supply chain that you have reason to believe is illegal, unethical or otherwise inconsistent with company policies.

Your Voice does not replace internal grievance and disciplinary procedures for addressing workplace grievances and performance.

Should I use Your Voice whenever I have a concern?

We encourage you to first consider reporting concerns directly (e.g., to a manager) as this is often the most efficient way to resolve concerns. However, we recognise that speaking up directly is not always easy. When direct reporting is unavailable or inappropriate for any reason, Your Voice is an alternative way to report a concern about illegal or unethical conduct.

Can I remain anonymous?

You can choose to remain completely anonymous, where permitted by law, At the end of your report, you will be given a report key and asked to create a password. Keep these details safe as you will need the report key and password to access your report later.

You can also choose to remain anonymous to EGA but provide NAVEX with an email address that they can use to notify you of updates to your report.

It can be difficult to conduct a meaningful investigation of an anonymous report, especially if insufficient information is provided. We encourage you to share your identity as this facilitates and speeds up the proper handling of your report. Your identity will be kept confidential and only shared on a strict “need-to-know” basis to address your concern or as required by law.

Can an anonymous report be traced back to me?

The NAVEX system protects anonymity. It does not generate or keep records to link your phone or computer.

In some cases, it may be possible to infer the identity of an anonymous reporter from the facts of the report. You can decline to provide information that may identify you, but this may limit our ability to investigate your concern.

Can I make my report in any language?

Yes. NAVEX supports more than 150 languages.

If you submit a report via the Your Voice web site, you can choose from the listed languages, but you can make your report in any language.

If you submit a report via the Your Voice phone line, your call will be answered by a qualified NAVEX call centre specialist. You can ask to speak your preferred language. There may be a short wait whilst your call is transferred to a colleague who can speak your language or an interpreter is found.

When can I contact Your Voice?

Your Voice is available 24 hours a day, 7 days a week, 365 days a year.

What information should I include in my report?

When you submit a report, NAVEX will ask you for the information that is required to investigate a concern. The information you provide must be factual and directly related to the subject matter of the report. If you make a report and later realise that the information provided may not be true, complete, or accurate, you must update your report without delay.

You can attach documents that might substantiate or illustrate your concerns.

What if I have further information to report or wish to change my report?

At the end of your report, you will be given a report key and asked to create a password. You can use these details to check on the status of your report, correct information or provide additional information.

Who will see my report?

When you submit a report, you will be asked about where the concern happened and the type of issue. Your answers will determine whether your concern is handled by EGA’s Ethics & Business Integrity team or other authorised personnel.

The NAVEX system ensures that any person named in a report will not be able to view that report.

Confidentiality is key throughout an investigation. Anyone authorised to handle an ethics investigation is bound by strict duties of confidentiality. Whilst it is not possible to guarantee absolute confidentiality in all circumstances, we will only share information on a strict “need-to-know” basis, or as required by law.

Will I be protected against retaliation?

EGA prohibits any form of retaliation against a reporter or anyone involved in the handling and investigation of a Your Voice report. Retaliation refers to any unjustified and/or harmful actions taken in reprisal. Retaliation may take many forms, including:

  • harassment, bullying, or creating a hostile work environment
  • discriminatory employment decisions around compensation, training, promotions, internal mobility, disciplinary action etc.

If you believe you have witnessed or are subject to retaliation or threats of retaliation, please report it directly to EGA’s Ethics & Business Integrity team or to relevant management. Any employee that is found to have engaged in retaliation will, regardless of position, be subject to disciplinary action.

How long will it take for my concern to be investigated?

This will depend on the nature and complexity of your concern. We aim to investigate all matters within a reasonable time. You may check on the status of your report using your report key and password.
